Assigning privileges

As an Objective administrator or an object owner with relevant privileges, you can set different types of privileges to objects at the folder, document, group or user level:

If you assign privileges at the folder/group level, all objects contained within that folder/group are automatically given those privileges.
If you choose to assign privileges on an object-by-object basis, you must do so for each object individually.
If Administer privileges are enabled in your organisation, you are automatically granted Owner privileges for every object that you add to Objective Objective ECM. When you have Owner privileges you may assign privileges to the object.
If you are not the owner of an object, you are unable to assign privileges unless you have been assigned the 'admin' privilege by the Objective Administrator or the owner of the object. You can only assign a privilege that you have.

How to

Find the object for which you want to assign user privileges.
Open Edit Privileges for the object:
- from the object's Details page, select and then More Actions > Edit Privileges.
- from the object card, select and then More Actions > Edit Privileges.
The Edit Privileges dialog box is displayed that lists all the users/groups who have access to the object.

If the user or group does not have access to the object, add them by selecting Add user or group. Find and select the user or group and click Use Selected.

The user/group is added to the access list with Read Only privileges.

If you have many users/groups and are not able to find the one you want, you can enter the user/group name in the Filter assigned privileges by name.

Users/groups are displayed along with their privileges:

Access options	Description
No access	No privileges to the object
Read only	See and Open
Read+Write	See, Open, Create, Edit and Delete
Admin	All privileges
Custom	Any other combination of privileges

To assign privileges to individual users or groups:
1. In the Edit Privileges dialog box, click on user/group's existing access for example Read Only or Read+Write.
  The Assign Privileges dialog box is displayed.
2. Select the privileges you wish to add for the user/group and click Assign.
To modify privileges of multiple users/groups:
1. In the Edit Privileges dialog box, select Advanced.
  The Edit Privileges dialog box expands to display the existing privileges of all users/groups who have access to the object.
2. Tick or untick the privileges and select Save.
