Accessing records
To access a record that exists in a repository, you must lodge a custody transfer request with Repository staff and wait for the request to be processed. A Repository staff member processes the request in Objective Navigator and notifies you whether your request is granted or rejected. You can also gain custody of a record if it is transferred to you or you could pass a record that is currently in your custody onto another user for a specific loan period.

The following table describes each Objective Object within the Records module:

Repository |
A records store that exercises managerial control over the records located within it. A repository may be dispersed across multiple locations. For example, Paris, London, New York and Sydney. |
Physical Location |
A division of a repository. For example, it could represent a filing cabinet drawer or a shelf. |
(Physical) File |
A logical grouping of File Parts. There must always be one physical file part in a physical file. However, File parts may also contain a combination of Virtual and Physical File Parts (that is, 'mixed mode'). |
(Virtual) File |
A logical grouping of Virtual File Parts only. That is, there may be one or more Virtual File Parts but there are no Physical File Parts in a Virtual File. |
(Physical) File Part |
An Objective Object representing a physical counterpart, such as a manila folder. It may contain physical objects, and (optionally) electronic document versions ('mixed mode' File Part). |
(Virtual) File Part |
A container for electronic document versions only. It may not contain Objective physical objects. |
Physical Object/Physical Document |
An Objective Object/document representing a physical entity, such as a, paper document, book or CD. |
Physical Container |
A container used to stored records. |
Archive Box |
Used to store records that are accessed infrequently. |
Disposal Schedule |
Instructions that define when a File is to be archived or destroyed. |
