Saving an email and its enclosed attachments

  1. Select an email or multiple emails from any of your folders in Microsoft Outlook.
  2. Choose Save Emails and Attachments from one of the Objective access options.
  3. If you try and save emails and/or attachments that are already in Objective ECM, the Review duplicate emails dialog box displays any duplicate emails.

    Tip:  Duplicate emails will only be detected if your Objective administrator has enabled the system preference, EMAIL_DETECT_DUPLICATE.

    1. Expand the listed email to find out where other copies are located in Objective ECM.
    2. From this list decide and select which emails you wish to save again.
    3. Select Continue to save the new emails you selected and any re-selected emails you wish to duplicate.

      If you do not select any of the listed duplicate emails, they will not be saved to Objective ECM.

  4. Browse to the required Objective ECM location where the document is to be saved.

    You can select the Recent, Handy, Home, Global or Find tabs to help you locate the parent file or folder where you wish to save the email and attachments.

    • On the Recent tab, select a location from the list of ones you have recently accessed, then Use selected.
    • On the Handy tab, use the Navigation pane to browse your Handy, select a location, then Use selected.
    • On the Home tab, use the Navigation pane to browse your Objective Home folder to find and select the location you want. Then choose Use selected.

      Object aliases won’t be displayed on the Home tab.

    • On the Global tab, use the Navigation pane to browse your Objective Global folder to find and select the location you want. Then choose Use selected.
    • On the Find tab, select the object type from the drop-down and enter your search criteria in the adjacent textbox. Select Find to display the search results. Choose a location from the results list, then Use selected.

  5. Choose the appropriate action for each email and for any attachments.

    The default action for each email and/or attachment is Add as new. You can choose No action if you decide not to add the email or an attachment. If you choose No action for an email with enclosed attachments, then its attachments will also not be added (the Action option is greyed out and not available for selection).

    You could also decide to only add the email as a new object to Objective ECM but not its attachment.

    The link type for any email attachments is always cross-reference and this cannot be changed.

  6. Click Next.
  7. Upload the emails and/or attachments to Objective ECM.

    If you wish to add different metadata for each email and attachment, complete the upload process for each email and/or attachment, selecting Next to move to the next item.

    If you wish to have the same metadata included for all the selected emails and attachments, choose Upload all after completing the different metadata sections.

  8. Select Close on successful completion.
