Edit states of documents

Documents in Objective ECM exist in one of three states:

  • Draft
  • Edit
  • Published.

A document in the Draft state is identified with an , while a document in the Edit state is identified with an Edit when viewed by the person editing the document and Lock when viewed by others.

Each time a document is edited, a new version is created and other users are locked out of editing the document. Other users are still able to open and view the document in read-only mode, but they can’t edit it.

When you have finished editing a document and you save and close it, you will be prompted to release the document as a draft or published version.

  • A draft version is considered to be a work in progress which might be subject to review and change.
  • A published version is considered to be finalised and available to all users with the appropriate privileges.

When corporate value is applied to a document version, the document becomes a record in your organisation and it cannot be deleted. It is identified by an icon.

There may be some documents that cannot be edited using Objective ECM IQ. If this occurs, a message will let you know this and you will be provided with a link to the document in Objective Navigator where you will be able to edit a version of the document.

You can view a list of all the documents you are currently editing from your Dashboard.
