Enabling text search

You can use text search when you want to search for published document content. This is particularly useful when you are unsure of the document's name, the date it was created or other useful metadata. Simply, knowing that it contains a particular word or combination of words ensures that you can find the document.

Text searches can only be conducted on documents that have been text indexed.

Note:  Text indexing only occurs on the published versions of a document, not its interim drafts. If a document only exists in draft state, its text is not indexed.

The following fields are indexed and text searchable:

  • object id

  • name

  • description text

  • note

  • document extension (which only exists for documents)

  • physical id (which only exists for records)

  • title (which only exists for files).

These published fields are indexed and searchable:

  • Name

  • Description

  • Document extension.
