Running a query

A query enables you to find anything held in Objective ECM. Each criterion has specific operators and input characteristics that help to refine your search. The criterion available to you varies depending on the type of object you are looking for and how Objective ECM has been configured for your organisation.

Use a query rather than a search when you need to find objects based on metadata rules; especially if you want to get the results that meet any of the rules, rather than all of the rules.

  • Objective recommends that you run one query at a time and save the query each time you make any updates to it.
  • A user is only able to run one instance of a saved query at any one time, although another user is also able to run an instance of the same query.

    • For example, a user is running a query named ‘Lease Agreements’. This user can only run one instance of this query at any one time. They cannot use another browser to run the exact same query at the same time that one is already running.

  • You can run a number of queries at the same time, although this is not recommended. Depending on your Objective ECM configuration, the number of queries being run and the number of search results being requested, this has the potential of using a lot of resources.
  • If you make changes to a query it goes into the draft state until it is saved again. If you then run this draft query to get search results, the results are overwritten if you run a different draft query. In order to make sure that you have the appropriate results for a draft query, save your draft query each time any changes are made. You will know if your saved query is in the draft state, as the title of your query will be appended with the word Unsaved.
